1. Who is responsible for your information
Andrew Robert Trinder, a sole proprietor trading as ANDREW TRINDER COACHING, is responsible for the personal information described in this policy. Andrew is also the privacy contact for the business.

2. What information is collected
Depending on how far you progress through Lean8, this may include:
- your name, email address, mobile number, age confirmation, preferred contact method and general Ottawa or Orléans area;
- application answers about your goals, barriers, availability, training location and readiness to participate;
- onboarding details such as measurements, routine, equipment, training experience, food preferences and practical programme needs;
- limited exercise-readiness information, including confirmation that you completed the CSEP Get Active Questionnaire, its outcome and any practical restrictions or professional guidance needed to adapt your programme;
- agreement, consent, payment-status and programme-administration records. Stripe processes card details; Andrew Trinder Coaching does not receive or store your full card number;
- programme communications, check-ins, progress information and support messages; and
- basic technical information produced when you use the website, such as IP address, browser type and security or server logs.
Please do not send diagnoses, private medical records or other health information that is not necessary for safe programme delivery.
3. Why the information is used
Personal information is used only for reasonably necessary purposes:
- receiving, assessing and responding to your application;
- checking suitability and exercise readiness;
- preparing agreements, taking payment and completing onboarding;
- personalising and delivering training, nutrition guidance, accountability, feedback and group support;
- maintaining business, tax, insurance and consent records;
- protecting participants, the business and its systems; and
- sending occasional fitness information or future-offer updates only where you separately choose to receive them.
4. Consent and your choices
Submitting an application requires permission to use your details to assess and respond to that application. If you join Lean8, additional information is required to enter the coaching agreement and deliver the programme. Express consent is requested where information is more sensitive, including the exercise-readiness onboarding step.
Marketing consent is optional and is not a condition of applying or joining. You may withdraw it through an unsubscribe link or by emailing Andrew. Operational messages about an active application, agreement, payment or programme are separate from marketing messages.
You may withdraw other consent, subject to legal and contractual restrictions. Doing so may prevent Andrew from assessing your application or safely delivering Lean8.
5. Service providers and disclosure
Information is shared only as needed with providers that support the application and coaching journey. These currently include Airtable for forms and administration, Microsoft Outlook for email, Dropbox Sign for electronic agreements, Stripe for payment processing, Trainerize for programme delivery, YouTube for the website video, and website-hosting and IT providers.
Information may also be disclosed to professional advisers, insurers, regulators, law enforcement or another party where reasonably necessary to establish or defend legal rights, protect safety, or comply with law. Personal information is not sold or rented.
A participant's name, testimonial, progress graph, image or video is not used publicly as a coaching result without separate permission.
6. Processing outside Canada
Some service providers process or store information in the United States, the United Kingdom or other countries. Information handled there may be accessible to courts, law-enforcement or national-security authorities under local law. Andrew Trinder Coaching remains responsible for information transferred to service providers for processing and selects providers and access settings appropriate to the sensitivity of the information.
7. Safeguards
Reasonable administrative, technical and contractual safeguards are used according to the sensitivity of the information. These include restricted account access, authentication controls, limited collection of health information and reputable service providers. No online system is completely risk-free. Any privacy or security incident is assessed and handled in accordance with applicable law.
8. Retention
Information is kept only while needed for the purposes described above and for applicable legal, accounting, insurance or dispute-resolution requirements. Unsuccessful or withdrawn applications are normally reviewed for deletion or anonymisation within 12 months after the last meaningful contact. Participant, agreement and transaction records may need to be retained longer. When information is no longer required, it is securely deleted, anonymised or access-restricted.
9. Access, correction and complaints
You may ask whether Andrew holds personal information about you, ask for access to it, or request a correction. Identity may need to be verified before fulfilling a request. Some information may be withheld where the law permits or requires it, with an explanation where appropriate.
Start by contacting Andrew using the details above. If a privacy concern is not resolved, you may contact the Office of the Privacy Commissioner of Canada.
10. Website video, cookies and external links
The website does not intentionally use advertising cookies or behavioural-advertising analytics. It includes a YouTube video using YouTube's privacy-enhanced domain; YouTube or Google may still receive device and usage information when you play or interact with the video. Hosting and security providers may maintain ordinary server logs.
Links to Airtable, Instagram, YouTube and other services take you to platforms with their own privacy practices. Review those services' notices before providing information directly to them.
11. Age and policy changes
Lean8 Ottawa is for adults aged 18 or older and does not knowingly collect programme applications from children. This policy may be updated when services, providers or legal requirements change. A new date will be posted here, and additional notice or consent will be provided where a material change requires it.
